Updates to Employee Onboarding and I-9 Verification Process

The Administrative Services Center (ASC) has partnered with the Office of Information Technology (OIT) and campus partners to streamline the employee eligibility verification process. The goal is to ensure compliance with federal law while significantly enhancing the onboarding experience for new employees.  

As of Nov. 17, all new employees must complete the onboarding paperwork and I-9 verification process (Form I-9 Sections 1 and 2) before their employment start date.   

Onboarding paperwork and I-9 verification are required for:  

  • Employees hired as faculty, staff, or student employees at Georgia Tech for the first time. 
  • Employees who have not worked, logged time, or received a paycheck at Georgia Tech in the past two years. 
  • Employees who were previously hired at Georgia Tech in a different employee type (e.g., previously hired as a student employee but now rehired as a staff employee). 

Affiliates are required to complete onboarding paperwork and the security questionnaire. They do not need to complete the I-9 verification process.

I-9 Verification Appointments 

To support this change, the ASC will continue to provide three options for I-9 verification appointments. 

  • Employees  in the metro Atlanta area will be instructed to schedule an in-person appointment at the ASC (500 Tech Parkway). They may also visit the ASC for a walk-up appointment Monday through Friday from 8:30 a.m. to 4:30 p.m. 
  • Employees who work remotely outside of the metro Atlanta area can schedule a virtual appointment with the ASC. 
  • Employees who work remotely outside of the metro Atlanta area can call the ASC to request a College and University Professional Association (CUPA) Consortium appointment.  

During the I-9 verification appointment, employees will be asked to present original, unexpired documents to prove eligibility to work in the United States. A list of acceptable documents can be found on the Onboarding Identification Requirements webpage

We ask that hiring managers and HR representatives share these options with newly hired employees and ensure they provide the necessary documentation to the ASC before they begin work.
